Point-of-Sale Equipment: Securing Your POS

Locking it Down

Chauhan says that if the POS systems are not properly locked down, they can be susceptible to attacks. “For decades, embedded devices consisted of specialized hardware running proprietary software, but in recent times, there has been a shift towards standardization, such as Unified Point of Sale (UPoS) in the retail industry.”

“Standardization has enabled devices to become increasingly interconnected and has allowed for the use of off-the-shelf software on commoditized hardware running commercial or open operating systems, such as Windows XP Embedded, WEPOS (Windows Embedded for Point of Service), and Linux,” Chauhan observes.

According to her, the security risks for POS equipment owners came from greater system flexibility and quicker development time of these equipments.

Vulnerable Systems

From Robert J. McCullen, chairman and CEO of Trustwave (www.trustwave.com) – a security firm that focuses on the security of information and compliance management solutions, agreed to Chauhan that there are many POS systems that are vulnerable to attacks.

According to McCullen, dial-up swipe machines has a low risk, what’s more prone to attacks are devices that are computer-based and/or have Internet access; the threat lies in those two prime factors.

According to McCullen, if a POS system stores credit card track data, exploitation can occur, and swipe terminals can be exploited through tampering.

In general, as McCullen explained, only low risk exploits can experienced with hardware swipe terminals, rather a higher risk of tampering, but tampering easily allows hackers to read the cards, whether through a Bluetooth device used later to get the card data or other efforts in retrieving the information.

Chauhan points out other vulnerabilities. She claims that because today’s POS systems are similar to networked PCs, they require constant patching. Chauhan also said that embedded systems have also become vulnerable to changes that are unauthorized and inappropriate as they are handed off to others in the distribution channel. Results of this can cause malfunctions to the equipment and may even loose their PCI DSS (PCI Data Security Standard) requirements.

PCI DSS (PCI Data Security Standard) Challenges

Both Chauhan and McCullen agreed that Point of Sale equipment faces some unique challenges when complying with the PCI DSS.

Chauhan says that in the PCI DSS requirement 5, it states that an antivirus software must be used and regularly updated. An ativirus software can be a very high overhead expense on a low-footprint POS system, she even notes; however, change control software can eliminate the need for antivirus software.

As an example, Chauhan explains that NEC Infrontia installed change control software on its POS offerings and thus prevented unauthorized code from breaking unpatched systems. With this software, it allowed NEC Infrontia to remove the antivirus software that was impacting the performance of their devices, Chauhan notes.

With the PCI DSS Requirement 6, developing and maintaining a secure system and application is a must. It also presents unique challenges, as Chauhan noted.

It will be difficult for POS equipment providers in ensuring that their systems sustain PCI compliance after they are shipped put into production through the dealer network.

A large supplier of technology and POS systems for independent grocers and small retail stores, StoreNext (www.storenext.com), have solved their patching challenges with PCI DSS Requirement 6 by embedding Solidcore change control in its systems.

“In addition, StoreNext was able to reduce the amount of time spent on monthly test and patch distribution cycles by reducing its patch frequency to quarterly,” Chauhan states. The PCI auditing requirement can be met through change control software, claimed Chauhan.

Other thorny areas, as McCullen states, includes user-based access controls and data encryption.

Why bother?

Good customer service is the life blood of any business. New customers are important but good customer service will help generate customer loyalty and repeat business. With every satisfied customer your business is likely to go on and secure many more customers through recommendations and if you do not take proper care of your customers there is probably a competitor waiting in the wings that will.

Online customer satisfaction surveys will help by not only identifying problem areas but will also demonstrate to your customers that you care and are proactive in looking for ways to improve the service that you provide.

 

Where do you start?

Objective – Before you start creating your survey clarify the objectives of the survey, in that way you will find it easier to decide what are the right questions to ask.

Analysis – Consider how you will analyze the answers having completed the survey.

Keep in mind that ‘closed’ questions (where the respondent is asked to choose from a limited number of responses) are easier to analyse than ‘open’ questions (where the respondent can reply in anyway they want).

A great deal will depend on the expected volume of respondents, the higher the volume the more important it is to have an easy method of analysing the results.

Opportunity – As well as obtaining valuable market research data keep in mind that customer surveys are also a good way to advertise areas of your service that your customers may not be aware of.

After you have drafted your survey read through the survey from a market research view point and check that you are asking the right questions in the right way and that with the feedback information you will be able to properly analyze the data allowing you to make informed decisions.

Next, read through the survey from a marketing view point, check that you have phrased each question so that every opportunity has been taken to promote your business?

The ideal question will perform the following three functions:-

  • Market research – provide valuable feedback to help you improve your customer satisfaction levels and in turn your business
  • Marketing – promote aspects of your business
  • Information/Education – advertise a service that you provide that your customers may not have been unaware of

What are the questions you should ask?

Although each business is likely to have specific and unique factors that are important in providing good customer services there are common areas that are relevant to all businesses be they a physical store, online internet store or a service industry. The following are some key areas to providing good customer service.

Communication – Do customers find it easy to communicate with you?

When customers telephone are their calls answered quickly; are their enquiries about products or services handled properly? A good business will make every effort to ensure that whatever the customers query it is resolved by the right person, politely, quickly and fairly.

If there are reported problems that cannot be resolvable immediately do you promise to respond in a given time period and do you deliver on your promise?

Use a customer satisfaction survey to check that your customers find your staff to be helpful, courteous and knowledgeable.

Location – Do your customers find it easy to visit you, if a physical bricks and mortar store, is it conveniently located with good access?

Making it pleasant, making it easy – For an online business it is important to ensure that your website is easy to use and aesthetically pleasing.

Regardless of the store being a bricks and mortar or purely an online internet store, is the store properly laid out, can your customers find what they need and is there sufficient information and help on hand to explain how a particular product works?

The right quality products – In addition to measuring the quality of the service that you provide you should ensure that the products and services that you provide do in fact match your customers’ requirements.

Value for money – Cheap or expensive is not always a good measure, value for money is.

Do your customers consider that the products you sell or the services you provide are value for money, if not, why not?

Speed and attention – Customers want to be dealt with quickly but attentively.

Are you doing everything you can to avoid any delay?

Good businesses will try to treat each customer as an individual, does yours? Attention is one thing but only if it leads to a quick and satisfactory resolution to the query.

Demographics and Specific issues – Take the opportunity to profile your customers, for example what is their age group and where do they live?

The more knowledge you have of your customers the better you will be able to target your business.

Within the survey allow customers to highlight specific problems and provide contact details.

 

What next?

Having completed the survey analyse the results.

Trends – Look for specific and common areas where the service needs improving.

Ask yourself honestly if any criticism that you receive is valid and if there anything that can be done to resolve or minimise the problem?

Training – Are all employees properly trained and do they have sufficient knowledge?

Where staff training programmes have been implemented have they had a positive impact on the business?

Follow-up – If a customer who has completed a survey has raised a specific issue do all you can to ensure that their complaint is addressed.

Don’t squander the opportunity to resolve a problem and keep a customer.

Continuously Monitor – Based on the survey results make changes and then re-measure by issuing further surveys.
